Lloyd Recruitment Services is delighted to be recruiting for one of its very loyal clients in the outskirts of Reigate. An extremely well established business which has enjoyed many years of success.This is a 12 month FTC working 37 hours a week. The ideal candidate will have a proven track record working as a PA.
 
The Opportunity:
  • Full Personal Assistant duties, working for the Oncology Department. These will include Managing detailed diary logistics, organinsing all meetings, manage all travel and transport requirements.
  • Organise and coordinate all internal, cross company and external meetings. Owning of weekly and monthly meetings, agenda items and reminder emails.
  • Preparation of agenda, Chair meeting and minute taking. Log weekly note progression accordingly and pursue actions as appropriate.
  • Management of general correspondence as required, expenses for Oncology, lead, receive and upload all receipts. Query any unexplained expenses etc.
  • Team Leader to Oncology Administrator(s). Full training of new Oncology admin recruit.
  • Oversee delivery of Oncology Newsletter. Regular meetings with Newsletter panel to discuss content and implementation.
  • Coordinate with all colleagues all FM Meetings (assistance from admins). Coordinating FM queries, comments etc. with team.
  • Attending meetings and discussions, implementing any rollouts etc. Delivering minutes to all colleagues. Management of SharePoint Site: 
  • Oversee logistics for Senior Lead Visits (assistance from admins).
  • Organise all logistics for meeting (catering/passes/rooms/IT equip/Webx.).Back up PA support to Commercial Strategy Director.
  • Meetings (coordination, booking, catering, passes etc.) Deliver all communications as appropriate Coordination of Open House days.
  • Support of all training requirements for the Oncology team. Creation and maintenance of distribution lists. Creation of visitor passes.
  • Coordination of Year End financials. Assist in management of ad hoc requests and support for Field Conference as required.

What you will need:
  • Previous experience as a PA/EA essential.
  • Ability to travel occasionally.
  • Excellent written, presentation and verbal communication skills.
  • Ability to work with accuracy and attention to detail.
  • Ability to work with autonomy and/or part of a team in a busy.
  • Minute taking.
  • Experience managing a team.
  • Diary management.
  • Be extremely well presented.
  • Have a calm, unflappable personality.
