- Engineer and Service Team Administrator
Fabulous opportunity to join a small friendly team of other administrators, who support 4 engineers with organising their visits and coordinating all parts/kits needed for their appointments.
Keeping customers updated at all stages, and ensuring that the continued good name of the business is upheld.
Customer Service:
Confident and clear customer liaison skills.
Accurate IT / recording systems experience – you’ll be
Plan jobs with the team and engineers, and come up with resolutions for unallocated jobs.
Ensure booked jobs are carried out, and any customers are professionally updated if there are any delays or reschedules needing to be made.
Order database updating and amending as required.
Assisting with picking items required from the stores.
Offer servicing and sales of products outside of the original contract.
Liaise with customers after the invoice has been submitted to ensure no issues needed to be addressed.
Invoicing / Credit Control:
Follow up on 30day outstanding chase ups are actioned (after initial automated emails are sent), and records updated for the directors to deal with if further delays in payments occur.
Assist with any queries / queries as they arise for the wider team if colleagues unavailable.
IT Recording and Systems:
Use the database is used to it’s maximum potential - to ensure a profitability, reducing non-chargeable work and optimising inventory and stocks is accurately recorded at all times.
Ensure pricing and quoting for existing and new customers is competitive – producing and recording details for others to review if required.
Prepare quotes for maintenance and call-out jobs and contracts for existing customers
Plan and book maintenance and call-out jobs in an efficient and timely manner
Marketing:
Help improve the groups social media profiles on LinkedIn, Facebook and Instagram
Coordinate marketing and advertising activities, in line with the Sales team, such as promotional campaigns and offers.
Prepare and update marketing material and business cases for e-mailing campaigns and other marketing purposes
Help organise marketing activities such as customer days etc.
Administration:
Keep track of fleet vehicles due services/MOT and organise services when necessary
Approve services / repairs and keep track of costs for each van
Gather mileage from GPS tracker and prepare private mileage report for payroll once a month
Keep track of expiration of the leases and help organise replacement / renewal of lease as appropriate
