- Lloyd Recruitment Services are pleased to be working with an independent travel / cargo company who are in search of an Operations Assistant to join their company on a full-time permanent basis.
The role:
Take responsibility to look after your own clients from creating quotes through to travel completion within the guidance and support of the team. Our client is looking for someone who is confident to follow due process and procedures to the letter, asks questions or do research if ever unsure, speaks fluent English, and is comfortable using Microsoft 365 including emails and calendar, excel and word, and is happy to speak to people on the telephone, customers, and suppliers. They are a small relaxed and friendly office team.

Salary 25,000 plus bonus
Monday to Friday 8.30am to 4.30pm
Additional hours may be required during busy periods (over time is paid)

Based on the outskirts of East Grinstead – must be driver due to rural location
Full training will be provided so you have time to learn and become confident to:
Answer the telephone, take messages, transfer calls, and eventually respond to queries – this is shared so whoever is available answers calls
Obtain an understanding of the different terminology, airlines and airport codes, reception centres
Create a quote from templates provided which is based on the quote requests received from the website and sending this in an email template accompanied by booking and information requests directly to the client
Plan the travel arrangements with airline booking, checking requirements at the destination completing the necessary paperwork, arranging with our customs agents for export formalities
Book any additional requests - e.g., collection from home, boarding, having a customs sized travel box made, client visit, check-in at the airport
Check all paperwork and veterinary requirements for the destination are completed and correct which may also require some research
Double check all paperwork is correct – dates, signatures, ID numbers etc
Liaise with the client directly throughout the process – being empathetic always
Add Outlook diary entries to the shared calendar for any times we need to attend in the UK
Add travel summaries to the excel spreadsheets – one each for exports, imports, and road travel
Create sales invoices on the accounts system and ensure payment is received prior to any travel
Salary £25,000 plus bonus
