- Lloyd Recruitment Services are pleased to be working with an award-winning business who are in search of a Medical Secretary to join their team on a full-time permanent basis.
This role is responsible for the provision of high-quality customer service, encouraging and monitoring growth for the company and providing secretarial support the consultants.
PLEASE NOTE : Our client will consider candidates from all backgrounds as full training will be provided. Must be driver due to location.

Administration/ Surgical Scheduling:
Answering telephone calls transferred from the enquiries team
Respond to surgical scheduling administration enquiries daily
To ensure awareness and understanding of our booking systems and have an understanding on how to record patient information, telephone conversations, correspondence, how to book appointments, book procedures and how to enter patient payments on the system
Ensuring surgical lists are prepared every week, organising files, providing quotations, collecting payments, ordering lenses, ordering graft tissue. liaising with patients regarding arrival and fasting times and preparing all administration work required for surgery
Administration/Medical Secretary:
Respond to medical administration enquiries daily
To ensure awareness and understanding of the GENIE system and have an understanding on how to record patient information, telephone conversations, correspondence, how to book appointments, book procedures and how to invoice and enter patient payments on the system
Dictation typing for two consultants and keep all letters up to date and make sure they are sent out in a timely manner, and also for the Medical Director when his PA is on annual leave
To provide secretarial support to two of our consultants and responding to their requests promptly
Dealing with any incoming letters/referrals/enquiries for our consultants and ensuring the consultant has seen the correspondence and responds where required
Ensuring surgical lists are prepared every week, organising files, providing quotations, collecting payments, ordering lenses/equipment, liaising with patients regarding arrival and fasting times and preparing all administration work required for surgery
Organising outgoing post and any other administration tasks required
Collating figures and providing management team with final figures and targets met by the whole team
Providing cover for other members of the team when they are on annual leave etc
Reception/Clinics:
Meet and greet new patients in clinic, providing them with information, ensuring they understand the clinic process, showing appropriate videos and introducing them to their consultant
Providing patients with quotations in clinic and any information they may need for their procedure and booking procedure dates
Supervision and Development:
To be able to work both unsupervised and as a team member
To develop and maintain a Personal Development Plan and use this actively to participate in personal development opportunities
To participate in team meetings and in-service training
Participate in the induction, training and support of new staff in the department/to the Company as required
General:
Work with colleagues in a collaborative way to optimise use of resources and improve the performance of the department
Ensure that information relevant to the job is shared/passed on to colleagues promptly as appropriate
Develop effective working relationships and assist in facilitating effective communication pathways with all colleagues
Provide cover for colleagues as requested
To act in accordance with all company’s policies and procedures at all times
