Description
Lloyd Recruitment Services are pleased to be working with a reputable business based on the outskirts of East Grinstead who are currently in search of a PA /Administrator to join their team on a temporary basis until end of January.
 
However for the right person this could go on longer or become a permanent role
 
Key duties:
 
  • Undertake PA responsibilities
  • Booking Zoom calls for the team
  • Organising the diary
  • Ensuring no meetings are back-to-back and the team have breaks in between calls
  • Creating agendas
  • Communications internally with team members, adding comments to meeting internal notes to discuss and raise on the board meeting
  • Ability to summarise meetings and the day ahead for the team in morning daily meetings
  • Ability to start Zoom meetings without manager present should they be running late to inform clients that X will be with them soon or as per instruction
  • Check internal notes on CRM (Zoho) to add relevant details to the board meeting internal notes or to follow up with the team directly for updates
  • Comments from the client clearly added to the internal notes
  • Take actions from meetings and issue externally and internally – external have board meeting webforms on Zoho under the Board Meeting module
  • Ensure the client provides their agenda for a call if they have requested the meeting
  • Zoom details to be sent to client
  • Zoom meeting to be added to the calendar and invite the relevant people so this shows in their diary
  • Actions to be taken from meetings and shared with the team, update the CRM and issue to the client, ensure that your actions are completed and followed up
  • Ensure that every board meeting is recorded
  • Take incoming calls from external sources and take notes for action
  • Manage incoming emails to the mailbox
 
Requirements:
  • Previous experience in an office based role (Essential)
  • Previous experience as an Administrator / PA (Preferred)
 
Hourly rate of £9.50 - £10 per hour DOE
Monday – Friday
8:30 – 4:30 with 1 hour lunch (35 hour week)
