Team Secretary
** City firm ** 2-3 days a week / remote 1-2 ** Monday to Friday ** 9-5.30pm ** initially paid holiday and pension scheme ** corporate benefits including bonus of around 8% once permanent **
The departments current Senior Secretary, who’s been in the business for over 7 years, believes it’s the people in the whole team that make this role so much fun and varied.
If you’re looking to be micromanaged, this isn’t going to be the role for you. We want someone self-sufficient, keen to join a department with lots of different personalities, help out and be resourceful – but above all look forward to Mondays, rather than dread them.
Please note this is a team secretary role, where you’ll be responsible for all the day to day administrative support for a team of up to 50 colleagues – some being self-sufficient most of the time, others needing more hands-on guidance/support.
One minute, you’ll be organising travel arrangements, booking train tickets, securing meeting rooms, booking restaurants. The next you could be processing expenses, recording holiday requests, purchasing stationery and business cards, and the “how do I use the printer/photocopier” queries.
This isn’t a role for someone looking for in-depth events and conference organising, inbox and diary management.
There will be occasions when you’ll be called upon to cover for the Senior Secretary (holidays/absences), so a flexible and confidential approach is a must.
Skills:
Experience as a Team Administrator in a corporate environment
Excellent communication and interpersonal skills
Strong IT literacy: Microsoft applications including Word, Excel, PowerPoint, Outlook
Accurate typing
Enthusiastic, passionate and committed to business excellence
Ability to offer an accurate, prompt and professional service
Capable of organising and prioritising workloads
High level of attention to detail
