Project Coordinator

** Moving to larger office in Cheltenham from Mar 2022 **

** Mon 7.30 – 4.30pm / Tue to Thur 8.30-5.30pm / Fri 8.30-3.30pm **

Lloyd Recruitment are pleased to be working with a well-established market leader, in their field, who are recruiting a Project Coordinator to join their team.



This role will involve assisting the Sales Consultant and Project Manager and comes with the prospect of becoming a Project Manager with the relevant training and project coordinator experience.



The duties of the role:

Office Support


  • Managing day-to-day office requirements (EG: fobs, office access, liaising with landlord, stock, vehicles etc.)


  • Assist the Project Manager with stock control.




Sales Support (50%)


  • To check and help maintain the integrity and consistency of our data base of customers, contacts, quotations etc in our CRM system


  • To create draft Sale Quotations, Sale Proposals and Short-Form Quotes for the Sales Consultant


  • To write up and send out the new ASHP model Quotations.


  • For new ASHP model, liaise with subcontractors on timings, follow up design questions with sales and arrange sub-contractor paperwork etc.


  • To support the handover process from the Sales Consultant to the Project Manager


  • To liaise between Sales, Technical and Accounts to ensure that contracts are transferred from sales to fulfilment




Project Support (admin) (50%)


  • Maintain records on the Projects Information Management (PIM) for the office Operational Programme and keep updating the: Status updates, Schedule updates, Design status, Snag list


  • Ensure that engineers' packs are prepared in good time


  • Make sure hotel bookings are arranged and updated


  • Receive engineers’ packs from the engineers and file accordingly.


  • Create and archive paper project folders


  • Accept delivery and collection of goods in


  • Liaises with the Head Office to manage booking for vehicles used by engineers EG: Big Van.




Project Support (PM)


  • Day-to-day client relations.


  • Assisting with planning and progression of projects (pre-project costings, RAMS, planning, sub contract orders, variations, engineer scheduling etc.)


  • Assisting with the closing of the project (client handover pack completed, certificates, final invoicing etc.)


  • Contribution in managing the work flow; gaining critical information from all stakeholders (suppliers, stores, designers, consultants, sub-contractors or clients) to maintain the critical time path for all Projects.


  • Tracks and reports progress as needed.


  • Is aware of when escalation of issues is required and escalates as needed to the Project Manager and company management.


  • Manage site waste with the Project Manager.
