** Part-Time ** 17.5 hours per week ** Work from home ** 6-month Contract **
Lloyd Recruitment are pleased to be working with a well-established company based in the Epsom area, who are recruiting a Part-Time Assistant Administrator.
As an Assistant Administrator, you will provide support to the team, by performing a variety of tasks to ensure the smooth and efficient operation of the department.
The responsibilities of the role:
Booking team meetings for Business Unit
Preparing meeting agendas
Taking minutes and following up / tracking action items
Managing team calendar for; Congresses, Major meetings and Vacation
Managing inbox and calendar for direct Manager
Updating and maintaining distribution lists for the team
Updating Division/function Org charts
Maintaining hard copy and electronic filing system
Perform general clerical duties: photocopying, scanning, faxing, mailing, and filing
Pro-active handling of correspondence (e.g. prioritisation, re-direction to the appropriate resource, drafting bilingual internal/external communications)
Screen and handle incoming calls, ensuring timely follow up and resolution (if required) and/or by directing to appropriate departments for handling
Preparation, proofreading and editing of correspondence, reports and PowerPoint presentations
Create and modify documents using Microsoft Office
Order all necessary materials for meetings as required (ie training, promo material etc)
Ordering office supplies as required
Assisting with the onboarding of new hires
Updating and maintaining any Business Unit website or sub section of website
Preparing, proofreading and editing of correspondence, reports and PowerPoint presentations
Creating and modifying documents using Microsoft Office
Preparing, sending, sign for and distributing Purolator/UPS/Fed Ex/Airborne packages
Organising and coordinating all travel for various team members
Physical space management for department
